Most of your day in the app is the same as everyone else's on shift — the house chat, the shift
report, medication sign off. This guide covers those briefly and then spends its time on the part
that is yours: the food. Counting the house, turning that into a shopping list,
and writing the week's meals.

Support Worker guide, and it all
works identically for you. Nothing here contradicts it.
1 · Getting set up
There is nothing to download from an app store. Go to
hub.myhomelivingcare.com/install and follow
the steps for your phone — it works out whether you are on iPhone or Android.
iPhone: this only works in Safari. In Chrome on an iPhone there
is no "Add to Home Screen" option and you will think the app is broken.

Sign in with your
email address and the temporary password — usually MHLC1234.

Choose your own password when
asked. The app will not go any further until you have.

When your phone asks about
notifications, tap Allow.
Do add it to your home screen. Notifications only arrive properly once it is installed, and on
iPhone they do not arrive at all until then.
2 · Finding your way around
On a phone there are four buttons along the bottom:

- 💬 Chats — house chats and direct messages. This is where you land.
- 📝 Shift report — straight to the report without opening a chat first.
- 📋 Reports — look back at what has been sent for your houses.
- ⋯ More — your account (settings, text size, change password, sign out) and
🍽️ Meals. The version number at the bottom of that menu is worth quoting if
you ever report a problem.
On a computer the same things live in the strip down the left instead, and
🍽️ is one of the icons there. The meals screens are far easier on a bigger
screen — a stock take is a long list, and the week's meals are seven days across.
3 · Chat
Your house chats work exactly as they do for everyone: messages, photos, replies, and
@ to get someone's attention.
Press and hold a message (or tap its ⋯) to react, reply, or
📋 Copy text. + at the end of the row of faces opens more of them —
✅, ❌, ☕ and others — with a search box.
You can also message people directly — tap + at the top of the
chat list and pick a name. Anyone who works at one of your houses can be reached that way, as can
the office.
Swipe down on the chat list to refresh it. That works on the list itself, not
inside a conversation — messages in an open conversation arrive by themselves.
Three menus, and they do different things. ⋯ More along the
bottom is for your account. ✚ beside the message box is for
doing things — a photo, the shift report, medication sign off, the calendar, shift cover.
⋮ at the top right of a conversation is for that chat: who is in it, and
how it notifies you.
4 · Shift reports and medication
Both live under ✚ inside a house chat: 📝 Complete shift report
and 💊 Medication sign off.
Handover notes are required. The report will not submit without them, and
"all good" is not a handover — the next person reads that line before anything else.
Once a report is submitted it is a care record and stays as it was sent. If something in one is
wrong, say so — do not send a second report to correct it unless you are asked to.
“What happened when you supported…?”
Each resident’s part of the report starts with one list: tick what came up on
the shift and leave the rest. Unticked means it did not happen on that shift — nobody needs to type
“nil”.
- Daily living (showered, got dressed, ate meals, household tasks): ticking one
asks How did it go? — Independently, With staff support or
Declined to participate. Sometimes it is already filled in with “Usual for…”
underneath; it should be changed whenever that day was different.
- Anything else (napped, an outing, visitors, PRN and so on): ticking it opens
the questions about it further down.
- Away from the house is its own tick.
- A few questions, like restrictive practices, are still answered Yes or No.
The one thing to make sure your team knows: tick it if it happened — even
if the resident did it on their own. A tick is not “I helped”. If someone showered independently
and the box is left empty, the record says no shower happened at all.
Incident reports
✚ → ⚠️ Incident report in a house chat, or straight from
hub.myhomelivingcare.com/incident-report. Two parts are new:
- Witnesses — the witness’s name, and their email and phone number if the worker
has them.
- Injuries — Was anyone injured? now asks who: the client,
another client, a staff member or someone else. Type of incident no longer has injury options;
it says what happened (Self-harm is now its own type).
- Emergency services — replaces the police question: tick Police, Ambulance and/or
Fire brigade, and each asks its own follow-ups (police station; emergency department and hospital;
fire brigade report).
- Restrictive practice — if one was used: which one, whether it is in the
behaviour support plan, why, for how many minutes, and what was done to reduce or stop it.
Make sure your team knows that medication given to control behaviour is a restrictive practice
(chemical restraint) and belongs in that section, not only under PRN.
If you get interrupted
A half-written report is not lost. What you type is saved on your phone as you
go — “Saved on this phone at 3:42 pm” appears under the form. Reopen it and everything is
back, including which residents you had ticked. It says “Picked up where you left off”
when it has restored something, and nothing is filed until you press Submit.
A draft lasts about 18 hours and lives on that phone only. If the report
has been changed since you started in a way the saved answers no longer fit, it will tell you and
you will have to fill it in again — half an old form filled into a new one would look complete
when it was not.
Worth passing on to your team: several people have retyped a whole report after a page reload,
not knowing it was already saved.
5 · Shift cover
Inside a house chat, ✚ → 🆘 Can't cover a shift posts a card
into that chat asking for someone to take the shift. Anyone at the house can tap
🙋 I can cover on it.
Posting a card is not the same as being let off the shift. It stands until the card shows it has
been confirmed. If it is urgent, or for today, ring as well — a card in a chat is not an alarm.
6 · 🍽️ Meals, stock take and shopping
Where: 🍽️ Meals under ⋯ More on a phone, or the
🍽️ icon in the strip down the left on a computer. Pick the house at the top
right; the screen remembers which one you were on last.
There are tabs across the top:
- 📋 Stock take — count what is in the house.
- 🛒 Shopping — build the list and send it to the office.
- 🍽️ Meal plan — the week, seven days by five meals.
- ⚙ Item list — what this house keeps in, which you maintain.
The loop runs in that order, every week: count the house, build a list from what is low, send
it in, and the shopping arrives with a delivery time on it. Whoever is on shift when it lands ticks
the items off as they unpack.
The week's meals, the recipes and the delivery check are also reachable from the house's own
chat: ✚ → 🍽️ Meals & recipes, the same menu as the shift
report — so whoever is on shift does not have to go looking. Nothing about the shopping is ever
posted into the chat.
7 · The stock take, step by step

Open 📋 Stock take.
The house's items are grouped the way the cupboards are — Fridge & frozen, Fruit & veg,
Pantry, Cleaning & laundry, PPE.

Go along the shelves and put in
how many are actually there. Use − and +, or tap
the box and type the number.

Tap Save counts
in the bar at the bottom. It tells you how many are waiting to be saved, so you can see at a
glance whether you have missed any.
Zero is an answer. It means you looked and there were none, which is a different
thing from not having counted it — and it is the difference between an item appearing on the
shopping list and not.
Count what is in the house, not what you think should be ordered. The numbers are
what the shopping list is built from, and over time they are what will show how much food is
being thrown away. A guess breaks both.
Each row shows when it was last counted and how many there were, so you can see straight away
if something has moved faster than usual.
Counting again on the same day replaces the earlier count rather than adding to
it. If you miscount something, just put the right number in.
8 · Building the shopping list

On 🛒 Shopping,
tap + Start a shopping list.

Choose
📋 What the stock take says is low. Everything counted at 1 or fewer goes
straight on, so the list opens mostly written. Empty list is there if you would rather
start from nothing.

Add anything else with
+ Add an item. Search the catalogue first — if it is genuinely not there you can
type it as a one-off. Add what this week's meals need pulls in the ingredients for
any dish you have planned that has a recipe card.

Put a quantity in the
qty box where it matters — "2", "1 kg", "4 punnets".
After that the list shows its progress on its own: With the office, then
Ordered, then the delivery day and two-hour window once there is one, then
Delivered.
A shopping list does not need a meal plan behind it. A week where you only count
the cleaning cupboard and order bin liners and washing powder is a perfectly normal list.
Anything that did not arrive stays on the list it went missing from, under
Did not arrive. It does not quietly reappear on next week's — so if you still need it,
put it on the next list.
9 · Writing the week's meals
🍽️ Meal plan is a grid: seven days across, five meals down — breakfast,
morning snack, lunch, afternoon snack, dinner. Tap any square to fill it.

Tap the square. The dishes are
ranked by what this house actually cooks, so its regulars are at the top rather
than buried in an alphabetical list of a hundred and seventy.

Pick one, or type something
else under Something else if it is not in the list.

Add anything different
for one resident — "no peas", "mash instead of chips", "must be beef". Those sit
under the meal on the grid, and on the house's own screen, where whoever is cooking will see
them.
Where a dish has a recipe card there is a Recipe button beside it. The cards seeded
from the old workbooks are marked draft — they were written from what was typed
into Lark over the years, not checked by anyone who has cooked them. Worth a read before you rely
on one.
Previous week, This week and Next week are at the
top right, so you can write next week's before it starts.
10 · Keeping the item list right
Each house has its own list of what it keeps in, drawn from one catalogue for the whole
company. Keeping that catalogue clean is what makes the counts worth anything.
On the 📋 Stock take screen, at the top right:
- + Add an item — search the catalogue, and add a new one only if it genuinely
is not there. If the name already exists the hub uses the existing one and tells you so.
- Remove items — turns the counting boxes into Remove buttons, so you
can take something off this house's list. Tap Back to counting when you are
done.
The same two things are on the ⚙ Item list tab, which also shows whether each
item is counted in the stock take or only ever ordered.
Anything you have typed and not yet saved survives adding or removing an item, so you can fix a
wrong entry halfway through a count without losing your place.
Be specific. "Chicken breast" can be counted, ordered and tracked. "Other meat"
cannot — which is why entries like that have been taken out. If you are adding something new,
name the product, not the category.
Removing an item takes it off this house's list only. Past counts and past orders are
kept exactly as they were.
11 · 🎓 Training
Training that has been given to you appears under 🎓 Training. The icon only
shows up when you have something, and the red number on it is how many you still have to do.
Finding it. On a phone it is along the bottom, next to Reports. On a computer it
is in the strip down the left-hand side.
What you will see. A card for each course, telling you where you are up to:
- Not started yet — you have not opened it
- Carry on — you started it and stopped partway through
- Done — finished, with the date
Tap Open on the one you want to do. It opens in a new page.
Working through a module. Use Continue to move forward, and
Back if you want to read something again. The top of the screen tells you which step
you are on.
“I understand that…” lists. Tick every box. Continue will not
move on until they are all ticked, and it tells you how many are left.
Videos. Some steps have a video to watch before Continue works. If you stop
partway, the video picks up where you left off next time — on the same phone or computer. On a
different one it starts again from the beginning.
You can stop whenever you like. Your answers are kept as you go, so you can close
it and pick it up later — and it does not have to be on the same phone. Nothing is recorded until
you finish.
There are some questions at the end. The start of each module tells you how many.
When you finish, the date and time are recorded against your name, the course
shows as Done, and the red number goes down by one.
The SIL modules
There are nine, numbered 01 to 09. Do them in order — each one
builds on the one before.
Most take about ten minutes. You are not meant to do them all in one sitting.
12 · 🧮 Sheets
Sheets are spreadsheets inside the hub — like Excel or Google Sheets — that the office can share
with you, for example with your house chat. Everyone who has it open sees changes as they happen.
Finding it. 🧮 Sheets only appears once a sheet has been shared
with you. On a phone it is in ⋯ More; on a computer it is in the strip down the
left-hand side.
Being told. When a sheet is shared with you, 🔔 Updates shows
“… shared a sheet with you” — on a phone under ⋯ More, on a computer the
🔔 at the top right. Tap it to open the sheet.
- Can view — you can read it but not change it. The sheet says so at the top.
- Can edit — tap a cell and type. It saves by itself; ✓ Saved
shows at the bottom right.
- A cell with ▾ is a list — tap it and choose. A ☐ is a tick box
— tap it to tick.
- ⏷ Filter puts a ▾ on each heading so you can show only the rows
you want, for example your house. It only changes your screen.
Not for care records. Shift reports, medication and incidents still go where they
always have. A sheet is for shared lists and planning.
13 · If something is not working
I am not getting notifications
The app has to be installed on your home screen, and your phone has to have been
allowed to notify you. Go to hub.myhomelivingcare.com/install
and work through it again — it checks both.
I cannot see 🧮 Sheets
It only appears once a sheet has been shared with you. If you have been told one has, close the app
fully and open it again.
A house is missing from the meals screen
The picker only lists houses that use the module and that you are assigned to. If one you expect
is missing, ask your manager to check your access.
The stock take is empty
That house has no items on its list yet. Add them with + Add an item — search
the catalogue first, since almost everything is already in there.
Something else
Message your manager in the app, or say so in the house chat. A screenshot helps — take one on
your phone and send it in the chat, and include the version number from the bottom of
⋯ More.
